Administrative Assistant | Office of the Director
Performs administrative duties and supports Director and Chief of Staff. Maintains Director's calendar, schedules meetings, answers phone calls, drafts correspondence, maintains file system, and opens and sorts all mail. Makes all business travel arrangements for Director and prepares detailed itineraries. Executes travel and entertainment expense reports. Serves as front person and liaison for all of Director's Office contacts, including trustees and MoMA/MoMA PS1 staff, artists, scholars, dealers, and art world professionals. Reports to Chief of Staff.

Requirements: Bachelor's degree with at least eighteen months prior administrative experience relevant to the position, or equivalent. Organized, articulate, and professional. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other standard office procedures and equipment. Excellent written and verbal communication skills. Ability to work efficiently and multitask in a fast-paced environment. Candidate must be extremely detail-oriented and work well under pressure.


Assistant Archivist (eighteen-month grant-funded position) | Archives
Processes the Gilbert and Lila Silverman Fluxus Archives. The Silverman Fluxus Collection of art and archives is the foremost collection of its kind in the world, and with its donation the Museum has become the international center for the study of the Fluxus movement. Following professional archival standards, the project Assistant Archivist drafts a processing plan in conjunction with Museum Archives staff; determines and acquires necessary archival supplies; processes the collection in keeping with standard professional guidelines; performs simple preservation tasks, consulting with the Museum's conservation staff when necessary; and creates a detailed finding aid, including information on context and related collections as well as description of the material which will guide access to the collection by researchers. The collection will become a key component of the MoMA Archives and forms part of a pan-institutional commitment comprised by this gift. Reports to Museum Archivist.

Requirements: Art historian with Bachelor's and Master's degrees in art history and knowledge of the Fluxus movement. One to three years experience processing archival collections according to standard archival procedures. Ability to work independently, balanced with strong interpersonal skills.


Development Associate (Corporate Membership) | Development and Membership
Develops and implements annual marketing and communication strategy and goals with Manager of Corporate Membership and key staff of the marketing and communications departments. Coordinates barters and in-kind agreements related to marketing and communications, retail, special events, and other departments as needed. Writes and expedites all print and electronic material related to Corporate Member communication, including newsletters, e-blasts, and event invitations. Plans and executes program events with Manager of Corporate Membership and key special event, membership, group services, and retail staff. Conducts ongoing communication with donors related to the areas above, including in-person meetings and visits, and written initiatives such as inquiries, updates, reports, and invitations to events. Supports fulfillment of Corporate Member benefits. Works closely with Manager of Corporate Membership on special projects as needed. Reports to Manager of Corporate Membership.

Requirements: Bachelors degree, preferably in art history, marketing, or communications, Masters degree or Masters-equivalent coursework preferred, and two to three years relevant experience in a development office or equivalent. Experience with business writing or journalism and business/analytical experience also preferred. Excellent proofreading skills. Detail oriented. Strong interpersonal/communication skills to build relationships with funders. Facility with numbers to work with budgets and financial information. Strong organizational skills. Able to work independently, set priorities, follow through, and meet deadlines. Database experience. Knowledge of modern and contemporary art a plus.


Development Associate (Exhibition Funding) | Development and Membership
Prepares major corporate and individual fundraising proposals and letters, and completes packages. Prepares grant proposals and reports to foreign consulates and foundations. Writes sponsor credit lines for exhibitions and ensures the proper acknowledgement of all donors on exhibition materials. Circulates credit lines internally for review. Liaises with sponsors to negotiate logo credit and placement for credit lines in advertising, exhibition publications, gallery walls, website, press releases, outdoor banners and wallscapes, and other exhibition materials. Generates and maintains donor prospect and contact lists. Assists with stewardship of current sponsors. Leads Museum tours for donors and other VIP guests. Insures that funds received are directed to the appropriate Museum accounts and prepares various financial reports to finance and accounting as needed. Tracks the status of all pending requests for exhibition and project proposals, and monitors development database. Writes and prepares all general correspondence, including thank-you letters and acknowledgments for all major gifts. Cultivates a group of prospects for annual/membership gifts, and, in this capacity, personally solicits donors/prospects for gifts to the Museum. Performs duties as assistant to department head in his role as Director of Exhibition Funding, Director of MoMA PS1 Development, and Secretary to the MoMA PS1 Board of Directors (e.g., assists with travel arrangements, calendars, etc.). Processes department invoices and tracks expenses. Maintains confidential donor files. Reports to Director, Exhibition Funding.

Requirements: Bachelor's degree and two to three years relevant experience in a development office or equivalent. Knowledge of art history and interest in modern and contemporary art. Excellent written and oral communication skills. Proficiency in Microsoft Office (Word, Excel, PowerPoint), office procedures, and equipment. Superior organizational skills and attention to detail. Facility with numbers to work with budgets and financial data. Database experience.


Lobby Manager | Visitor Services
Works with four other Lobby Managers in Visitor Services. Prepares the daily schedule and disseminates pertinent information for Visitor Assistants (VAs) and Senior Visitor Services (Sr. VAs). Provides training and coaching to the VA staff on appropriate performance standards and expectations. Addresses and reviews any disciplinary issues concerning the VA staff with the Assistant Director and other Lobby Managers. Coordinates the daily set-up of all ticketing and information desk workstations and oversees the daily operation at both locations, which includes monitoring and carrying out all cash-control policies and procedures. Responsible for the preparation and daily accounting for CityPass booklets, NY Pass, and NYC Explorer Pass sales and all Museum Store promotions. Performs all aspects of end-of-day attendance counts and revenue reconciliation, including gathering attendance and admissions information from all sources to create the daily report. Masters the Vista ticketing system, both front-end and back-end features, as well as the Museum's online ticketing system. Facilitates all indoor and outdoor visitor traffic and crowd management, ensuring all stanchions and signage are properly placed. Provides general support to other Lobby Manager functions. Reports to Assistant Director, Visitor Services.

Requirements: Bachelor's degree and related experience managing staff, coordinating projects, and planning budgets. Excellent organizational skills. Outstanding verbal and written communication skills. Proficiency in Microsoft Word, Outlook, and Excel, and other standard office procedures and equipment.


Membership Sales Assistant | Development and Membership
Handles on-site sales and generates proactive sales efforts throughout the Museum, including lines within the main lobby and film lobby, on the sidewalk, and in other approved areas. Ensures Member Services Desk preparedness by assisting Lobby Membership Manager in maintaining desk supplies and relevant marketing materials. Resolves routine member concerns onsite. Drafts routine correspondence with members in response to incoming mail, e-mail, and phone inquiries. Updates membership database as necessary including address and name changes. Prepares membership applications. Acts as liaison with Gift Processing Department on financial matters involving lobby membership processing. Assists with member events, including member exhibition previews, Member Gallery Talks, and other member programs. Assists Membership office with special projects, including event RSVPs, mailings, etc., as needed. Reports to Lobby Membership Manager.

Requirements: Bachelor's degree and some customer service experience relevant to the position or equivalent. Excellent written and oral communication skills. Speaking ability in language other than English preferred. Proficient in Microsoft Office and other standard office procedures and equipment. Ability to work independently, set priorities and meet deadlines. Ability to work weekends (five-day work week includes weekends). Prior museum or retail experience preferred.


IT Project Manager | Development and Membership
Works with Director of Development and Director of Membership in implementation of customer relationship management system for External Affairs. Generates analytics and mapping necessary to integrate current gift processing system into a comprehensive system that will serve the needs of all fundraising departments in External Affairs (Membership, Annual Fund, Corporate Relations, Foundation Relations, Exhibition Funding, Special Events, MoMA/MoMA PS1, affiliate groups, Visitor Services, Marketing, Communications, and Graphics). In conjunction with External Affairs management, sets priorities of key areas of focus for the project. Serves as primary liaison with IT for implementation of the system based on functional needs. Develops timeline for implementation. Communicates tasks required by Development and Membership staff to meet desired milestones. Develops rules and written documentation. Develops strategies for optimal use of customer relations management system during planning stage and after implementation. Reports to Director of Development.

Requirements: Bachelors degree, MBA preferred, and five years project management experience, preferably with customer relationship management systems or equivalent. Nonprofit experience a plus. Cloud computing and/or Salesforce experience a plus. Excellent communication skills. Proficiency with information technology systems. Ability to meet deadlines. Ability to work independently and with a wide variety of individuals in technical as well as functional roles.

Staff Accountant | MoMA PS1
The Staff Accountant implements MoMA PS1 financial policies and procedures and works closely and collaboratively with the MoMA PS1 staff and MoMA Accounting Department. This individual is responsible for preparing financial reports that are used internally at MoMA PS1 and by MoMA. Acts as primary liaison to MoMA Controller and Associate Controller; prepares monthly financial statements, consistent with generally accepted accounting principles; prepares and posts journal entries, reviews and analyzes general ledger accounts; monitors daily cash position and initiates fund transfers; performs bank reconciliation for operating accounts; manages accounts payable and accounts receivable; prepares cash receipt vouchers for Admissions and Special Events including cash/checks counting and preparation for deposits to the bank on a weekly basis; in collaboration with Visitor Services, reviews Admissions Reports and makes corrections when needed; statutory reporting including sales tax filing, benefits reporting, and Department of Cultural Affairs reporting; assists with HR functions, including payroll administration, benefits administration, and maintaining employee files; performs accounts analyses, special projects and other miscellaneous analyses as required; Special Event support, including exhibition openings and summer Warm Up program (coordinates with all parties involved and supervision of register staff during the events). Reports to Chief Administrative Officer, MoMA PS1.

Requirements: Bachelor's degree in finance or accounting with at least two to four years experience, preferably in the non-profit sector. Strong organizational, verbal, and written communication skills. Excellent analytical skills and attention to detail. Ability to work independently and proactively. Proficiency in Excel. Knowledge of PeopleSoft preferred. Interest in contemporary art desirable but not essential.
